Video Production: Record Zoom Meetings

These instructions presume you are using a desktop or laptop computer. Zoom will allow you to record video of yourself, other people, and/or your computer screen. You can use Zoom in a browser or by installing the Zoom Client for Meetings app for Windows, Mac, or ChromeOS. The desktop client will give you more options including virtual backgrounds.

Steps for Setting up and Recording Meetings

Zoom meetings function best with the desktop software or mobile Zoom App.

Note: Zoom will automatically download the appropriate version. 

  1. Navigate to the Zoom Download Page.
  2. Under the Zoom Client for Meetings heading, click on the Download button:Zoom download button
  3. The executable installer download will begin. When it is finished, run the installer by navigating to the location it was downloaded to and double clicking on it.
  4. When the installer is finished, it will automatically open the Zoom Client. 
  5. Create a Free Zoom Account at https://zoom.us/meetings

Using the desktop client, select Schedule to set up your Zoom interview meeting.

Here are the important settings:

1. Topic: Interview [topic] [interviewee name] & [interviewer name] (note: this is how it’s saved to your computer AND how it’s titled on your calendar, so change the default!)

2. When: Select the date and time from the calendar

3. Audio: Computer audio only (use a mic or headset if you have one to limit background noise 

4. Calendar: Choose Outlook or Google (depending on your default calendar on your computer)

Once you click “schedule” you’ll add it to your calendar using the calendar prompts.

One person in the group will host the meeting and then invite the rest of the participants. To invite participants: follow these steps:

1. Select meetings tab.

2. Copy invitation.

3. Paste the invitation into an email 

Note: your group members only need the date, time and Zoom link.

Follow these steps to start your meeting:

1. From the Zoom desktop client, launch the Meetings tab.

2. Click on Start

When you launch the meeting, check the audio and video settings from the Zoom menu.

Mic (mute): Select your audio device and test.

Video Settings:

  1. Click the drop-down arrow
  2. Select Video Settings
  3. Optional (select Virtual Background)

Zoom Video Options include:

  1. Choose your camera.
  2. Make sure your screen is set to 16:9 (Widescreen)
  3. Turn on the option to “Display up to 49 participants per screen in Gallery View”. NOTE: This will ensure that all participants are part of your recording.

The recording will show what the meeting host sees. If you want all participants showing on the screen and video make sure your view is set to show everyone by choosing Gallery View at the top right of the Zoom window. 

If you are in gallery view, the recording will be similar to the meeting client and display a grid layout of participants' video. The gallery view recording can display a maximum of 25 participants.

When you are ready to start, click the “Record” button at the bottom of the meeting window. Select the option to “Record to your computer”.

  1. When you are ready to start, click the “Record” button at the bottom of the meeting window. Select the option to “Record to your computer”. 
  2. You will see a small red dot at the top left of the meeting window indicating that recording has started. 
  3. The participant will get notified that this meeting is being recorded. They should click Continue. 
  4. When you are done recording, click the “Stop Recording” button in the control bar and then click “Leave” at the bottom right. 
  5. The meeting recording might take some time to finish processing. When it is finished, a notification will appear on your screen showing you where you can find the file.

Steps for Saving and Sharing Your Video

1. Tick the checkbox next to the file.

By default, shared files are set to allow users to edit, if you want to restrict editing:

1. Click on Anyone with the link can edit and uncheck Allow editing.
2. Find the people you want to share by typing in their names.
3. Send the link by email, or copy the link to a email or submit as an assignment.

Recommended Equipment

The following equipment is recommended for participating in Zoom meetings.

  1. Internet Connection: Wired, wireless, or 4G/LTE
  2. Headphones: Listen to the audio being sent through the meeting
  3. Microphone: Speak with other meeting attendees
  4. Webcam:  Meet face-to-face, even when separated (optional)

Scheduling

  • Schedule the interview in Zoom
  • Send the interviewee a calendar request

Go live 10 minutes before the scheduled interview

  • Join audio conference by computer
  • Mic & speaker check (external mic is identified)
  • 16:9 video setting

Chat with the interviewee

  • Can they hear you
  • Does their audio sound good?
  • Does the lighting look good?
  • Does the video connection hold without errors?
  • Correct view (Gallery or Speaker)

Record prep

  • Click the record button
  • Select record local copy
  • Wait 3 seconds before starting the interview
  • Double check the record button is in fact on (upper left)

Conduct interview

  • Ask questions
  • Let a few seconds of silence pass at end
  • Click “Stop recording”

Post Interview

  • Chat to close out with interviewee
  • End the meeting (mp4 conversion starts here)
  • Don’t turn off your computer during conversion
  • Backup the mp4 to another location (save to your OneDrive)
